Ordering a new Hygiene Passport

Hygiene Passport Examiners approved by the Finnish Food Authority can order new Hygiene Passports, for example if the original passport has been lost or the holder's name has changed. Please note that you cannot order Hygiene Passports from the Finnish Food Authority.

If you have passed the Hygiene Passport test and you do not receive a Hygiene Passport from your Hygiene Passport Examiner, contact your own Examiner directly as soon as possible after the test. You can clarify this with your Examiner. If necessary, the Examiner will order you a Hygiene Passport again.

Please Note! The Hygiene Passport will be issued from June 10, 2024 with your full name and Finnish personal identification number. If the person does not yet have a Finnish personal identification number, a Hygiene Passport with the full name and date of birth will be issued. The change also applies to Hygiene Passport re-orders. T

Please note! After 1 January 2020, Hygiene Passports have no longer been issued on the basis of a relevant food sector qualification or education (Food Act 297/2021). Hygiene Passports issued on the basis of qualifications or education on or before 31 December 2019 remain valid if the holder still has their Hygiene Passport and their personal data have not changed. New Hygiene Passports are no longer issued based on a qualification or education. To obtain a new Hygiene Passport, the candidate must pass the Hygiene Passport test. 

The original/previous Hygiene Passport has been issued with the name and date of birth: the card or paper certificate has been lost

  1. Contact any the Finnish Food Authority’s Hygiene Passport Examiner.
  2. Send the Examiner the part of the Hygiene Passport (card or paper certificate) that you still have. If you contact the Examiner who issued you the original Hygiene Passport, you do not need to deliver the stored part of the Hygiene Passport to the Examiner if it has been less than 5 years since the test.
  3. Show your identity document to the Examiner. The Examiner takes the name information and the rest of the Finnish personal identification number from it, which are missing from the original Hygiene Passport. If you do not yet have a Finnish personal identification number, the Examiner will take the name information from the identity document that is missing from the original Hygiene Passport.
  4. The Examiner issues you a new Hygiene Passport.

The original/previous Hygiene Passport has been issued with the name and date of birth: the card and paper certificate have been lost and it has been less than 5 years since the hygiene passport test

  1. Contact the Finnish Food Authority’s Hygiene Passport Examiner whose hygiene passport test you have taken and who issued you the original Hygiene Passport.
  2. Show your identity document to the Examiner. The Examiner takes the name information and the rest of the Finnish personal identification number from it, which are missing from the original Hygiene Passport. If you do not yet have a Finnish personal identification number, the Examiner will take the name information from the identity document that is missing from the original test form.
  3. If you have completed the hygiene passport test less than 5 years ago, your Examiner can issue you a new Hygiene Passport.
    • Your Examiner has archived your test form, based on which he or she can issue you a new Hygiene Passport.
    • The Examiner’s duty is to archive the documents that are the basis for issuing the Hygiene Passport (such as the test form) for five years from the date of issuance of the Hygiene Passport.

The original/previous Hygiene Passport has been issued with the name and date of birth: the card and paper certificate have been lost and it has been more than 5 years since the Hygiene Passport test

The hygiene passport test must be performed again.

The original/previous Hygiene Passport was issued with the full name and Finnish personal identification number: the card and/or paper certificate has been lost

  1. Contact any of the Finnish Food Authority’s Hygiene Passport Examiners.
  2. The Examiner issues you a new Hygiene Passport.

Parts of the Hygiene Passport found

Found Hygiene passports are delivered to the Finnish Food Authority, which delivers them to the Hygiene Passport Examiners who have issued them. Examiners keep them for 3 months.

The original/previous Hygiene Passport has been issued with the name and date of birth: the card and/or paper certificate is on file

  1. Contact any Hygiene Passport Examiner approved by the Finnish Food Authority.
  2. Send the Examiner the part of the Hygiene Passport (card or paper certificate) that you still have. If you contact the Examiner who issued you the original Hygiene Passport, you do not need to deliver the stored part of the Hygiene Passport to the Examiner if it has been less than 5 years since the test.
  3. Submit to the Examiner an official certificate showing your change of name, Finnish personal identification number or date of birth. Submit it either on paper or electronically. If you deliver it electronically, i.e. a picture of the document, remember to use the Security Message service and send it as an encrypted message. This certificate may be:
    • A certificate or civil service certificate issued by the Police, the Local Register Office, the Population Register Centre or the paris
    • A certificate of personal data obtained from the Suomi.fi service which shows your current and previous name or date of birth
    • your previous and new personal identity document.
  4. The Examiner takes the name information and the rest of the Finnish personal identification number from it, which are missing from the original Hygiene Passport. If you do not yet have a Finnish personal identification number, the Examiner will take the name information from the certificate that is missing from the original Hygiene Passport.
  5. The Examiner issues you a new Hygiene Passport.

The original/previous Hygiene Passport has been issued with the name and date of birth: the card and paper certificate have been lost and it has been less than 5 years since the hygiene passport test

  1. Contact the Finnish Food Authority’s Hygiene Passport Examiner whose hygiene passport test you have taken and who issued you the original Hygiene Passport.
  2. Submit to the Examiner an official certificate showing your change of name, Finnish personal identification number or date of birth. Submit it either on paper or electronically. If you deliver it electronically, i.e. a picture of the document, remember to use the Security Message service and send it as an encrypted message. This certificate may be:
    • A certificate or civil service certificate issued by the Police, the Local Register Office, the Population Register Centre or the parish
    • A certificate of personal data obtained from the Suomi.fi service which shows your current and previous name or date of birth
    • your previous and new personal identity document.

    • A certificate of personal data obtained from the Suomi.fi service which shows your current and previous name or date of birth
    • your previous and new personal identity document.
  3. The Examiner issues you a new Hygiene Passport.

The original/previous Hygiene Passport has been issued whit the full name and Finnish personal identification number: the card and/or paper certificate has been lost and your personal identification number has changed

  1. Contact any Hygiene Passport Examiner approved by the Finnish Food Authority.
  2. Submit to the Examiner an official certificate showing the change of Finnish personal identification number. Submit it either on paper or electronically. If you deliver it electronically, i.e. a picture of the document, remember to use the Security Message service and send it as an encrypted message. This certificate may be:
    • A certificate or civil service certificate issued by the Police, the Local Register Office, the Population Register Centre or the parish
    • A certificate of personal data obtained from the Suomi.fi service which shows your current and previous name or date of birth
    • your previous and new personal identity document.

When you receive a Hygiene Passport from your Hygiene Passport Examiner, immediately check that your personal information (name and Finnish personal identification number or date of birth) is correct. Contact your Examiner immediately if your personal information is incorrect.

The original Hygiene Passport has been issued with the name and date of birth: less than 5 years have passed since the hygiene passport test

  1. Contact the Finnish Food Authority’s Hygiene Passport Examiner whose hygiene passport test you have taken and who issued you the original Hygiene Passport.
  2. The Hygiene Passport Examiner checks how you have entered your personal information (name and date of birth) on the Finnish Food Authority's test form.
    • If you have entered your personal information correctly on the test form, you do not need to submit the parts of the incorrect Hygiene Passport to the Examiner.
    • If you have entered your personal information incorrectly on the test form or they have been entered incompletely, provide the Examiner with both parts of the Hygiene Passport (card and paper certificate). The Examiner will find out if re-ordering the Hygiene Passport is possible.

  2. The Hygiene Passport Examiner checks how you have entered your personal information (name and personal identification number) on the Finnish Food Authority's test form.

  1. Contact any the Finnish Food Authority’s Hygiene Passport Examiner.
  2. Send both parts of the Hygiene Passport (the card and paper certificate) or the part that you still have to the Examiner. Please note! If you only have one part of the Hygiene Passport, it must show all the identifying information (name and date of birth of the candidate, Examiner’s ID/name, test date, serial number). If even one of these pieces of information is missing, the Examiner cannot issue a new Hygiene Passport based on the part of the original Hygiene Passport. If you contact the Examiner who issued you the original Hygiene Passport, you do not need to deliver the stored part of the Hygiene Passport to the Examiner if it has been less than 5 years since the test.
  3. Show your identity document to the Examiner. The Examiner takes the name information and the rest of the Finnish personal identification number from it, which are missing from the original Hygiene Passport. If you do not yet have a Finnish personal identification number, the Examiner will take the name information from the identity document that is missing from the original Hygiene Passport.
  4. The Examiner issues you a new Hygiene Passport.

The original/previous Hygiene Passport was issued with the full name and Finnish personal identification number

  1. Contact any of the Finnish Food Authority’s Hygiene Passport Examiners.
  2. The Examiner issues you a new Hygiene Passport.
